1. Applications for bookings will be taken for the Yorkshire welcome according with the mission statement, all exhibitors must be within the county of Yorkshire. If spaces are available after the closing date the committee will consider other applications from exhibitors offering a specialist product not represented at the showcase and again from within a reasonable distance.
2. The deadline for applications for bookings is 1st June 2012. Applications may be accepted after this date but there is no guarantee that later bookings will be listed in the showcase publicity.
3. Applications for bookings to be completed on the internet with payment via PayPal for the full payment for stall and equipment booked. Alternative booking arrangements can be made by contacting on 01845 522322 or by email. By completing the booking form you agree to comply with all these terms and conditions. Once application is accepted then you need to follow up by emailing to
info@yorkshirewelcome.co.uk or posting to MSW Events, copies of Public Liability Insurance Certificate, Local Authority where food business is registered (if required), NMT Federation Card (if Required), Risk Assessment, by 1st of July 2012. If we have not received these documents by the start of the showcase then you will not be allowed to exhibit and not entitled to a refund. We regret refunds will not be given for bookings cancelled by exhibitors.
4. All applications for bookings will be considered and the organiser's decision is final.
5. There will be overnight security on all nights when the showcase is set up however the organiser or committee are not responsible for equipment goods etc left overnight it is at the exhibitor's own risk. The organisers carry public liability insurance in respect of their own activities. All stallholders must have public and product liability insurance, and employer's liability insurance
6. Stallholders are responsible for provision of fire safety equipment on their stalls.
7. The organiser's may inspect a stall at any time to ensure the safe and hygienic operation of the site and compliance with the conditions of booking and product descriptions before, during and after the showcase. Any directions given must be complied with immediately.
8. Stallholders undertake to comply fully with trading standards, health and safety, environmental health and all other relevant legislation. Stallholders are asked to keep their surrounding area as clean as possible throughout the time of the showcase.
9. The showcase is open to the public each day from 10.00 and closes at 22.00 on Saturday and from 10.00 to 17.00 on Sunday. Stallholders may set up on the Friday from 14.00-17.00.
Please note there is a maximum time limit of 1 hour for unloading. All vehicles must be moved to the Exhibitors' car park immediately after unloading. Please arrive in good time to be fully operational at 10.00 on Saturday morning. No stall display is to be taken down before end of trading at 17.00 on Sunday.
On Friday and Saturday nights from 18.00 to 22.00 a beer and wine showcase will be held in the theatre.
10. Access for vehicles is available for replenishing or removing stock is at the following times: between 0800 and 0930 on Saturday and Sunday; after 17.15 to 18.00 on Saturday; and for taking down stalls after 17.00 on Sunday. VEHICULAR ACCESS IS NOT AVAILABLE AT ANY OTHER TIME.
11. All electrical equipment must be certified and have a current PAT certificate. This certificate must be made available for inspection by our electrician at the Showcase. Please note that non PAT tested equipment cannot be used under any circumstances. PAT testing is available on site at a cost of £15.00 per item.
12. Exhibitor toilets & hand wash facilities will be available on site, please ask where they are situated.
13. Facilities on site will be available for disposal of rubbish please ensure you use it. Please dispose of all waste and litter thoughtfully.
14.The site owners have asked us to point out that even simple things like hot water can damage the grass. Please dispose of all waste and litter thoughtfully. Exhibitors will be liable for any damage they cause.
